Smart User Manager – Automated User Management for Joomla Available now!

Create Your Own User Management Rules

Every Joomla website has different requirements. That's why Smart User Manager doesn't rely on fixed workflows. Instead, you create your own rules tailored to your needs.

Du bestimmst:

  • which users should be included,
  • which conditions must be met,
  • which actions should be executed,
  • in which order the rules are processed,
  • and whether a rule should run automatically or only manually.

Multiple conditions can be combined, allowing you to precisely define which users are affected by a rule.

Common Use Cases

Remove Unactivated User Accounts

Delete users who have not completed their registration or confirmed their email address within a specified period.

Notify Inactive Users

Automatically send reminder emails to users who have not logged in for a defined period of time.

Notify Users Before Disabling Their Account

Create multiple rules that work together. For example, users can first receive an email notification and, after an additional grace period, be automatically disabled.

Clean Up Old User Accounts

Remove obsolete user accounts after a configurable period of time.

Manage Specific User Groups

Limit rules to selected Joomla user groups and exclude protected groups or individual users from processing.

Combine Conditions Flexibly

With Smart User Manager, you can select users based on a wide range of criteria.

Depending on the rule type and configuration, available conditions include:

  • Registration date
  • Last login date
  • Activation status
  • User status
  • Block status
  • User group
  • Time since registration
  • Time since last login
  • Users who have never logged in
  • Exclude individual users or user groups

This allows you to create everything from simple cleanup rules to complex multi-step user management workflows.

Custom Email Templates

Create your own email templates for notification actions.

Define custom subject lines and message content, and use placeholders to automatically insert user-specific information, such as:

  • Username
  • Full name
  • Email address
  • Registration date
  • Last login date
  • Website name

For multilingual websites, you can create separate email templates for different languages. Smart User Manager automatically uses the language assigned to the user or falls back to a default language if required.

This ensures that every user receives a clear and personalized notification in the appropriate language.

Simulation Mode for Safe Testing

Before a rule makes any changes to user accounts, you can test it in Simulation Mode.

When Simulation Mode is enabled, no changes are made. All actions are simulated and logged without affecting your users.

Before running a rule for real, you can see:

  • which users would be affected,
  • which conditions are met,
  • which actions would be performed,
  • and whether the rule behaves as expected.

Once everything is configured correctly, simply disable Simulation Mode to enable the actual processing.

Built-in Safety Mechanisms

Automated user management requires reliable safeguards.

Smart User Manager protects important user accounts and prevents critical actions, for example when:

  • a user has been explicitly excluded,
  • a protected user group would be affected,
  • the currently logged-in administrator would be processed,
  • a user account is required for website administration,
  • or a rule contains conflicting actions.

You can also define user groups that should never be modified or deleted, providing an additional layer of protection against unintended changes.

Detailed Logging

Every rule execution is fully logged.

The log includes information such as:

  • which rule was executed,
  • when the execution took place,
  • which users were checked,
  • which conditions were met,
  • which actions were performed,
  • which actions were simulated in Simulation Mode,
  • and whether any errors or safety mechanisms prevented processing.

Comprehensive logs make it easy to review rule executions and help you quickly identify and troubleshoot issues.

Automatic Execution with Joomla Scheduled Tasks

Smart User Manager integrates seamlessly with Joomla Scheduled Tasks.

Set up a scheduled task and choose how often your user management rules should run, for example:

  • daily,
  • weekly,
  • monthly,
  • or at a custom interval.

Without a configured Scheduled Task, no rules will be processed automatically.

You can also run rules manually from the Joomla administrator interface at any time.

Manage Rules Individually

Each rule has its own status and can be managed independently.

You can:

  • enable or disable rules,
  • run rules manually,
  • test rules in Simulation Mode,
  • duplicate existing rules,
  • change the processing order,
  • or delete rules when they are no longer needed.

This allows you to prepare and test new workflows before enabling them for automatic execution.

Create Multi-Step Workflows

By combining multiple rules, you can build complete user management workflows.

For example:

  1. A user has not logged in for 12 months.
  2. The user receives an automatic reminder email.
  3. After another 30 days, the user account is disabled.
  4. After a further 90 days, the account is permanently deleted.

Each step is configured as a separate rule. By combining conditions and time periods, you have full control over when each action is triggered.

Test Users for Easy Setup

Create sample users directly from the Joomla administrator interface to safely test your rules.

You can simulate various user scenarios, including:

  • unactivated registrations,
  • users who have never logged in,
  • users who have been inactive for a long time,
  • disabled user accounts,
  • different user groups and registration dates.

This allows you to test your rules under realistic conditions without modifying existing user accounts.

Once testing is complete, the sample users can be removed with ease.
